When you interact with Hudson's Bot or participate in a Discord server where it is installed, the bot may access certain information provided through Discord, including:

• Discord user ID
• Username and display name
• Discord avatar
• Discord server/guild ID
• Channel IDs
• Role IDs
• Server member count
• Messages where features such as AutoMod or automatic FAQ responses are enabled
• Support ticket information you voluntarily submit
• Hudson Shop order IDs you provide when submitting a product claim or when staff processes a delivery

The bot may also maintain configuration information selected by server administrators, such as welcome channels, ticket channels, product roles, AutoMod settings, FAQ settings, announcement schedules, and moderation-log channels.

Hudson's Bot uses Discord's Server Members Intent to provide features that depend on member events.

For example, when a member joins a server, the bot may use the member's:

• Discord user ID
• Username or display name
• Avatar
• Server membership information

This information is used to create automated welcome messages and other server-management functionality.

We do not use Server Members data for advertising, behavioral profiling, or tracking users across unrelated Discord servers.

Hudson's Bot uses Discord's Message Content Intent for features that require reading normal server messages.

These features include:

• AutoMod: Messages may be analyzed in real time for spam, repeated messages, excessive mentions, blocked phrases, blocked domains, suspicious giveaway links, and common Discord or Steam impersonation/scam patterns.
• Automatic FAQ responses: When enabled by server administrators, the bot may analyze messages to determine whether a user is asking a supported Hudson Shop question and automatically provide a predefined response.

Message content is not used for advertising or marketing profiles.

Raw Discord message content is not routinely stored in our off-platform persistent database.

For spam detection, normalized recent messages may temporarily exist in the bot's application memory for approximately 20 seconds.

If a message triggers AutoMod, portions of that message may be copied to a private moderation log channel within Discord so server staff can review the moderation action.

Message content is not used to train artificial intelligence or machine-learning models.

Users may submit a Hudson Shop order ID through the bot for staff review.

Authorized staff may also use the bot to confirm and deliver purchases through TheHudsonShop.com's administrative order system.

For these purposes, the bot may process information such as:

• Order reference/ID
• Discord user ID associated with the claim
• Product name
• Delivery status
• Time of the claim or delivery
• Discord staff member who completed the delivery

The bot may communicate with TheHudsonShop.com's backend to verify an order and perform the same product-delivery process available to authorized shop administrators.

Hudson's Bot does not independently access or store customers' credit card numbers, banking credentials, PayPal passwords, or other financial-account login information.

If you submit information through a support or claim ticket, we process the information you voluntarily provide in order to respond to your request.

Please do not submit passwords, authentication tokens, license keys, payment-account credentials, or other sensitive login information in Discord messages or support tickets.

Certain information necessary for operation of Hudson's Bot may be stored on our application hosting infrastructure.

This can include:

• Discord guild IDs
• Discord user IDs associated with order claims
• Channel IDs
• Role IDs
• Order references
• Claim and delivery status
• Bot configuration
• Scheduled announcement configuration
• Ticket configuration

Hudson's Bot is currently hosted using Railway, which provides the application's hosting and persistent storage infrastructure.

Our services may interact with third-party platforms necessary to operate the bot and store, including:

• Discord — Discord provides the messaging, member, server, role, and interaction data used by Hudson's Bot.
• Railway — Railway provides hosting and persistent application storage for Hudson's Bot.
• TheHudsonShop.com and its service providers — The bot may communicate with TheHudsonShop.com's systems to verify and deliver eligible orders.

These providers may process information according to their own privacy policies and terms.

Information accessed by Hudson's Bot is used only as reasonably necessary to:

• Operate Discord server features
• Welcome new members
• Detect spam, scams, and abusive messages
• Provide automatic support and FAQ responses
• Assist with support tickets
• Record product claims
• Verify and deliver Hudson Shop purchases
• Assign customer and product Discord roles
• Send scheduled announcements
• Maintain server and bot configuration
• Troubleshoot technical problems
• Protect the security of our services

We do not sell your personal information.

Discord data accessed by Hudson's Bot is not sold to advertisers or data brokers.

Discord message content collected or processed by Hudson's Bot is not used to train AI or machine-learning models.

The bot's current AutoMod and automatic FAQ features rely primarily on predefined rules, matching logic, and administrator-configured responses.

We retain persistent bot configuration and operational records only for as long as reasonably necessary to provide the service, maintain security, resolve disputes, and operate customer support.

Temporary message data used for spam detection is automatically discarded from application memory after a short period.

Moderation records posted inside Discord remain subject to the retention and deletion practices of the relevant Discord server and Discord itself.

We take reasonable measures to protect information processed by our systems.

Sensitive application credentials, such as Discord bot tokens and shop administrative credentials, are stored separately from the public bot source code using protected hosting environment variables.

No online service or storage system can guarantee absolute security.

Server administrators may disable or restrict certain Hudson's Bot features, including:

• AutoMod
• Automatic FAQ responses
• Welcome messages
• Ticket automation
• Scheduled announcements

Individual users who do not want to submit order information through the bot may contact Hudson Shop staff through the available support methods instead.

You may also contact us if you would like to ask about information associated with your Discord account or request deletion of information we control, subject to records we may need to retain for legitimate operational, fraud-prevention, security, or legal purposes.

Hudson's Bot and The Hudson Shop are not intended to knowingly collect personal information from individuals who are not permitted to use Discord under Discord's applicable age requirements.

If we become aware that information was improperly collected from an ineligible user, we may take appropriate steps to remove it.

We may update this Privacy Policy when our services, Discord bot functionality, or data practices change.

When changes are made, the updated version will be posted on this page and the effective date above may be revised.
